This notice explains how Tours to Cappadocia handles personal information when you browse our website, ask about a private tour, balloon experience or tour package, or contact our team.

1. Who is responsible for your information?

Tours to Cappadocia is operated by Romos Turizm Bilişim Dış Ticaret Ltd. Şti. (Romos Travel), a Turkish travel agency established in 2009, TÜRSAB licence A-13114.

2. Information you provide

Our enquiry form asks for your name, email address, proposed travel date, number of travellers and message. Your message may include your hotel, interests and itinerary preferences. We also receive the information you choose to send by email, telephone or WhatsApp.

The website enquiry form does not take payment or confirm a reservation. Please do not include payment-card details, passport copies, health information or other sensitive documents in the enquiry form. If a confirmed travel service requires additional details, our team will explain what is needed and how to provide it.

3. Website and enquiry records

To respond to a request, prevent duplicate submissions and protect the service from abuse, we record the enquiry, a request reference, submission details and delivery status. Technical information may include the page visited, landing page, referring page, browser language, browser/device information and an IP address where available. Hosting and security systems may also process connection and access logs.

4. Why we use this information

• To answer questions, prepare a personal quote and discuss your travel plans.
• To arrange and administer services you request, where a booking is agreed.
• To maintain correspondence and service records, meet legal obligations and handle complaints or legal claims.
• To secure the website, prevent misuse and understand website use where optional analytics has been enabled with your permission.

Depending on the activity, processing relies on steps you request before a contract or performance of a contract, legal obligations, establishment or protection of legal rights, legitimate interests where permitted without overriding your rights, or your consent where required. Consent for optional analytics is separate from submitting a tour enquiry; declining analytics does not prevent you from contacting us.

5. Service providers and travel arrangements

Relevant information may be accessed by authorised Romos Travel staff and providers supporting website hosting, data storage, email and technical security. If you ask us to arrange travel, necessary details may also be shared with the guides, transport operators, accommodation providers, balloon operators or other suppliers involved in that arrangement. Information may be disclosed to competent authorities where legally required.

Some technology providers or communication services may process information outside Türkiye. Any transfer must be assessed against the applicable legal requirements and appropriate safeguards; the location and arrangements depend on the service used.

6. Optional third-party services

The YouTube video and Google map are loaded only after you choose to open them. At that point, your browser connects to the relevant provider, which may receive technical information such as your IP address and process data under its own privacy terms. Opening WhatsApp or a social-media link takes you to an external service; that provider controls its own data practices.

7. How long information is kept

Retention depends on the purpose and type of record. Enquiry and correspondence records are kept for the period needed to manage the request and related follow-up; booking and business records may need to be kept longer for legal, accounting or claims purposes. Contact us for the retention information relevant to your request. Once information is no longer needed, it should be deleted, anonymised or otherwise handled in accordance with applicable requirements.

8. Your choices and rights

Subject to applicable law, including Türkiye’s Personal Data Protection Law No. 6698, you may ask whether your information is processed, request information about the processing and recipients, ask for correction, or request deletion or other action where the legal conditions are met. You may also raise objections or complaints and withdraw consent for processing based on consent. Withdrawal does not affect processing already carried out lawfully.
