2. Information collected and sources
We collect information you provide through enquiry forms, email, telephone, messaging and booking correspondence: name, contact details, travel dates, group size, preferred language, meeting or accommodation details, requests and the content of your communications. If a booking requires it, we may request participant, identification, invoice or payment-reference information. We also receive relevant information from a person booking on your behalf and from service or payment providers.
Technical information may include IP address, device/browser information, requested pages, timestamps and security logs. Optional analytics is enabled only after the choice described in our Cookie Policy. Do not send full payment-card details, unnecessary identity documents or sensitive personal information through ordinary enquiry channels.
3. Purposes and legal grounds
We process necessary information to answer requests, prepare quotations, form and perform contracts, arrange guides and transport, communicate practical details, administer payments and invoices, respond to complaints and establish or defend legal rights. Depending on the purpose, the grounds under applicable law include entering into or performing a contract, compliance with legal obligations, establishment or protection of rights, and legitimate interests balanced against your rights, such as proportionate website security and business administration.
Consent is requested where legally required, including optional analytics. Withdrawing consent does not retrospectively invalidate earlier lawful processing. Health, disability or other special-category information is requested only where needed for an agreed arrangement and processed under an applicable lawful condition with appropriate safeguards; we do not treat sending an enquiry as blanket consent.
4. Recipients and service providers
Information necessary for the booking may be shared with assigned guides, transport operators, accommodation or activity providers and other suppliers involved in the agreed service. Relevant data may also be processed by hosting, storage, communications, booking, payment and security providers, professional advisers and competent authorities where legally required. Access and disclosure should be limited to what the particular purpose requires. We do not sell personal information.
5. Processing outside Türkiye
Our technology and travel suppliers may process information in Türkiye or other countries. Where a transfer abroad occurs, we must meet the requirements of applicable data protection law, including an applicable adequacy decision, appropriate safeguard such as a valid standard contract, or a legally available exception. Merely visiting the website does not constitute consent to every international transfer. Contact us for information about the arrangements relevant to your data.
6. Retention and security
Records are retained for the period necessary for their purpose and applicable accounting, tax, tourism, contractual and limitation requirements. Security logs and optional analytics follow their relevant purpose and settings. When retention is no longer justified, information is deleted, destroyed or anonymised as legally appropriate. Legal holds may require relevant records to be retained longer.
We use appropriate technical and organisational measures, including access controls and secure communications. No internet system can guarantee absolute security. Avoid sending unnecessary confidential information.
7. Cookies and external services
MeidänCookie politiikka explains essential storage, optional Google Analytics and how to change your choice. Following a map, social-media, messaging or external booking link may allow that provider to process technical information under its own terms. Enabling an optional external service may involve communication with that provider.
8. Your rights and requests
Under Article 11 of Turkish Law No. 6698, where applicable, you may learn whether personal data is processed, request information about it, learn its purpose and whether it is used accordingly, learn domestic or foreign recipients, request correction of incomplete or inaccurate information, request deletion or destruction when the legal conditions apply, request notification of relevant corrections or deletions to recipients, object to a result against you arising solely from automated analysis, and seek compensation for damage caused by unlawful processing. Additional rights under other applicable laws remain available.
Send requests to info@tourstocappadocia.com or our postal address using a legally valid application method. Identify your request and the information needed to locate the relevant records; we may request proportionate identity verification. Requests are answered within applicable statutory periods, including generally no later than 30 days for qualifying KVKK applications. Statutory complaint channels to the competent data protection authority remain available. Consent-based processing may be stopped without cancelling other processing supported by a separate lawful ground.
9. Changes and contact
We may revise this notice to reflect actual services and legal requirements. Material new processing requires any additional information or consent required by law. For copyright-related correspondence, use copyright@romostravel.com and read our Copyright & Content Policy.
